Over time, most Dynamics 365 and Power Apps environments accumulate far too many views. The result is a long, cluttered view list that makes it harder for users to find what they actually need.

As a general best practice, we recommend keeping:

  • 3 to 6 views per table
  • A small number of well-defined system views
  • A handful of personal views tailored to each user

Why Fewer Views Are Better

Having too many views leads to:

  • Slower navigation
  • Confusion about which view to use
  • Lower user adoption

A short, intentional view list makes Dynamics 365 feel simpler and more approachable — especially for new users.

Hiding Views You Don’t Need

Cleaning up your view list is easier than you might expect.

From the View Selector, choose Manage and share views. From there, you can hide views you don’t want to see with a simple click.

Once you apply the changes:

  • Hidden views disappear immediately
  • No data is deleted
  • Other users are unaffected

This allows each user to tailor their view list to how they work.

Personal Views vs. System Views

Not all views follow the same rules.

Personal Views

  • Can be hidden by any user
  • Only affect the person hiding them
  • Easy to hide and restore at any time

System (Global) Views

  • May require administrator permission to hide
  • Controlled by a system setting

If you don’t see the option to hide system views, your administrator may need to enable that feature.

Bringing Views Back

Hiding a view is never permanent.

If you decide you need a view again:

  • Open Manage and share views
  • Re-enable the view with a click
  • Apply the changes

The view will immediately reappear in your list.

Sorting Your View List

While you’re cleaning things up, you can also control how views are sorted.

You can choose to:

  • Show personal views before system views
  • Show system views before personal views
  • Sort all views alphabetically

Alphabetical sorting is often the cleanest and easiest to scan, especially in environments with multiple custom views.
